Foldr Appliance v10 and onwards Release Notes
Update 11.0.0.3 (16th July 2026)
Foldr 11 is our biggest release ever. It introduces the all-new Foldr Next interface across the whole product, Grace (your built-in AI assistant), five new modules (Forms, Sign, Governance, Reviews & Approvals, and Disclose), Word editing and co-authoring in the browser, semantic search, and PDF redaction.
The all-new Foldr Next interface
- *New* The web app, Foldr Settings, and the automation editor have been completely rebuilt as fast, modern applications. The classic interface has been retired.
- Light and dark themes throughout, including new light and dark sign-in backgrounds. Custom backgrounds and logos now accept WebP images.
- A consistent design language across every page: standardised buttons, filters, empty states, dialogs and save behaviour, with a live save-status indicator and an unsaved-changes guard in Settings.
- Fully translated into all supported languages, with thousands of new and corrected translations and consistent sentence casing. Two-factor wording is now “multi-factor authentication” throughout.
- Improved mobile layouts across search, forms and the file browser.
*New* Meet Grace
Grace is Foldr’s built-in AI assistant, available throughout the web app once enabled by your administrator. Bring your own AI provider, from the major cloud services to fully self-hosted local models.
- Ask questions about your files in plain language. Grace reads documents and spreadsheets, draws on the search index (including the OCR text of scanned documents), and links to her sources.
- Turn plain English into a full search: Grace builds and runs the query, and can hand it to the query builder for refinement.
- Summarise and analyse many files at once, and reconcile sets of documents against each other (for example invoices against purchase orders), even across shares.
- Create and edit files: Word documents, spreadsheets, CSV, text and more, plus inline charts that can be saved back into Foldr.
- Read and update custom fields, including bulk updates across many files at once.
- Share on your behalf: create public and secure links, set up inbox folders, and manage who has access.
- Set up automations by describing them. Grace drafts the automation, shows you exactly what it will do (including a warning if it overlaps an existing one), and only saves when you confirm. Users manage their own automations from the Me tab; administrators keep full oversight with run logs and a kill switch.
- Redact sensitive content from PDFs by describing what to remove, with an in-viewer preview and highlighted matches before anything is committed.
- *New* Guided navigation: ask where something is and Grace highlights it on screen.
- Grace can build and edit forms for you in the Forms builder, and use semantic search where it is enabled.
- Built to be safe: a dedicated permission controls who can use Grace, destructive actions always require confirmation, every action is written to the activity log, administrators can see usage, and Grace is hardened against malicious instructions hidden inside document content.
*New* Foldr Forms
Build forms in the web app and collect submissions straight into your storage. Contact us for licensing information or to arrange a trial.
- Visual drag-and-drop builder with a live preview, multi-page forms, and conditional page branching.
- Rich question types: text, choice, date, time, email, phone (with country picker and validation), web address, rating, slider, consent, hidden fields, file uploads and repeating tables.
- No-code logic builder for conditional visibility, validation and computed values, backed by a full expression language with date, maths, text and aggregation helpers. Use {{ expression }} templates in any label, title, placeholder or help text.
- Buttons and actions: run approved automations mid-fill, set answers and variables, and react to change events.
- Lookup fields populate choices and autofill answers from administrator-approved data sources, including per-row lookups inside tables.
- Share forms publicly with a custom web address, or restrict them to invited internal and external recipients with sign-in enforced. Recipients get invitation emails with secure links, per-recipient deadlines and recurring reminders.
- Availability windows, response limits, and save-and-resume for people filling in longer forms.
- Submissions are written to a share of your choice as PDF, Word, text, markdown or CSV records. Answers can populate custom fields on the output file, and uploaded files are indexed for search.
- Send a completed form for signature with Foldr Sign, including multi-role signers and answer prefill.
- Notifications and receipts for owners and submitters, plus a per-submission activity trail.
- Translate form content into other languages with built-in machine-translation assist, right-to-left support, and automatic language selection based on the visitor’s browser.
- Administrator oversight in Foldr Settings: view all forms, reassign owners, approve data sources, and grant form creation by user or group.
*New* Foldr Sign
Send documents for signature without leaving Foldr. Contact us for licensing information or to arrange a trial.
- Prepare an envelope from any document in your storage: place signature, initial, date and text fields with drag and drop, add one or more recipients, and send.
- Recipients sign from a secure link with a drawn or typed signature. Typed signatures can be adopted once and reused.
- Signing can run in a set order, with each signer invited automatically when the previous one finishes.
- Envelopes can expire on a date you choose, with automatic reminder emails for signers who have not yet signed. Administrators can cap expiry and control signer authentication per share, including requiring multi-factor authentication before signing.
- Every completed envelope carries a signature certificate: a full, tamper-evident audit trail of who signed, when, and how they were verified.
- Track everything from the web app: drafts, envelopes out for signature, completed, declined and cancelled, plus an “Awaiting me” view for signatures waiting on you.
- Save frequently used documents as reusable templates, and send a template to many recipients at once as a batch.
- The completed, signed document is written back to your storage, and custom fields can be populated on the signed PDF automatically.
- Email notifications throughout: invitations with a customisable subject, a note to the sender when a signer declines, and a summary when everyone in a batch has signed.
- Works with Foldr Forms: send a completed form submission straight out for signature.

- Sensitivity and retention labels with a taxonomy editor, manual labelling on files, and folder defaults with inheritance.
- Automatic classification while your content is indexed, using keyword dictionaries, pattern and checksum detectors, and an optional AI document-class tier.
- 37 ready-made compliance packs covering common regulations and data types, with per-share pack and policy selection.
- Confidence thresholds route uncertain matches to a review queue, with the matching text highlighted for the reviewer.
- Enforcement options: block downloads and sharing of labelled documents, require a label before sharing, and keep labelled content out of AI features with automatic redaction of personal data.
- Every classification decision is written to the audit trail.
*New* Reviews & Approvals
Route changes to the right people before they take effect. Contact us for licensing information or to arrange a trial.
- A unified Reviews & approvals home with an inbox, routing rules and a dismissed list.
- Rules can require approval for classification decisions and for changes to field values, with compound conditions built in the same no-code editor as Forms.
- Named assignees and reviewer pools, with a warning at authoring time if an assignee cannot open the files in scope.
- Multi-step approvals with quorums, conditional steps, deadlines and escalation.
- Outcome actions on approve or reject: notify someone, set a field, or run an automation.
- Reviewers can securely view the file under review, including its fields, even where they have no standing access to the share.
- A dashboard summarising outstanding and completed reviews.
*New* Foldr Disclose
Answer subject access and freedom of information requests from start to finish. Contact us for licensing information or to arrange a trial.
- Manage each request as a case, with the statutory clock tracked automatically: calendar months for subject access requests, working days for freedom of information (with bank holidays for your region), stop-the-clock for identity checks and clarification, and capped extensions.
- Verify the requester’s identity, or record why verification was waived, before anything can be released.
- Collect from across your organisation: search every connected share (including the OCR text of scanned documents), collect from Microsoft 365 and Google Workspace mailboxes, import mailbox exports, or add files by hand.
- Administrators set which mailboxes can ever be read; case managers choose within that boundary for each case.
- A search record is kept automatically, including the places you searched that returned nothing.
- Review everything in one place: mark items as relevant or not, apply exemptions, and read collected emails as documents.
- Redact other people’s information with confidence: automatic suggestions highlight third-party details, a person approves every one, and redacted copies have the content removed (not just hidden) with document metadata scrubbed.
- Deliver as a secure link to an assembled bundle with a cover summary, search record and decision record; links can expire, be revoked, and carry supplementary additions to the same disclosure.
- Take in requests through a public Foldr Form, and keep organisation-wide oversight of every case in Foldr Settings.
- Every step is written to the case decision log and the activity log.
*New* Flows
Package a working configuration and move it between Foldr servers.
- Export shares, custom fields, Captur templates, saved searches, MaSH automations, forms and Sign templates together as a single flow bundle.
- Import with a full preview: see exactly what will be created before committing, rename on name conflicts, or merge into an existing share.
- Anything that needs attention after import is called out clearly, such as webhooks that need rebinding or data sources awaiting approval.
Word documents in the browser
- *New* A built-in, high-fidelity Word viewer. Documents render instantly in the web app with no external document server required.
- *New* (Beta) A built-in Word editor: formatting, styles, tables, images, hyperlinks, headers and footers, live pagination, and tracked changes with accept and reject.
- *New* (Beta) Real-time co-editing between web users.
- *New* (Beta) Co-authoring with desktop Microsoft Word, so web and Word users can work in the same document together. Controlled by an administrator switch with per-share opt-in.
- Checkouts now understand co-authoring: a co-edit session shows as joinable rather than locked, and checkout status updates live in the file list and viewer.
Search
- *New* Semantic search: an optional per-share upgrade that ranks results by meaning as well as keywords. Grace can use it too when answering questions about your content.
- The search platform has been upgraded to the latest major version, with existing cores carried forward automatically.
- *New* Index audit: preview what a crawl will do (file counts, content extraction and OCR forecast) before running it, with run history and cancel controls on the share page in Settings.
- *New* Per-share OCR page limit, so very large scanned documents only OCR the first pages you need.
- Scanned documents can now produce searchable PDFs from their OCR output.
- Major reliability work in the crawler: file operations during a crawl no longer cause missing or duplicated index entries, multi-day crawls no longer lose their locks, and failures are reported instead of silently swallowed.
- *New* Explain: a per-file diagnostic that shows exactly what indexing did (or would do) with a file and why, ideal for tracking down “why can’t I find this document” questions.
- Saved searches can now be shared with other users and groups.
- Permissions are read from SharePoint, Teams and OneDrive during crawls, so search results respect the access users have in Microsoft 365.
- OCR settings gain Simple and Advanced presets, so most shares need only one choice.
- Query builder improvements: a browse button for path conditions, better date presets, an anchored date picker, file-type conditions, and “is empty” / “is not empty” operators.
- Saved and exported searches now run directly in the search bar view, and search result icons show thumbnails.
- Multi-value custom fields display as proper tables in search results and the fields editor.
- OCR hit highlights are now positioned correctly on rotated pages.
Captur
- *New* AI-assisted extraction: Captur can now use an AI model to read a document and fill template fields, alongside the existing zonal extraction. Add per-field hints to guide it, or exclude individual fields from AI extraction entirely.
- Re-extract fields on demand for files that are already indexed, without a full re-crawl.
- Header fields are extracted across all pages of a document, not just the first.
- AI extraction never overwrites values you have edited by hand.
- Template editor improvements: collapsible page-thumbnail panel, better zone property editing, and dialogs that match the rest of the app.
Automations and MaSH
- *New* A visual script designer: build automations from drag-and-drop blocks, switching freely between blocks and code.
- A completely rebuilt MaSH engine with a proper compiler: faster execution and much clearer error reporting.
- Editor upgrades: autocompletion, find and replace, lint warnings for common mistakes, one-click ID lookup for shares and service accounts, and a summary of what capabilities a script uses.
- Execution logs are stored and browsable, so you can see what a script actually did on each run.
- Event-triggered automations with filters, plus scheduled automations that respect the owner’s timezone and support run-once schedules.
- Many new scripting capabilities, including custom-field access, sharing controls, Captur extraction, collection helpers and richer search results.
Storage and integrations
- *New* Kerberos delegation for SMB shares: users access SMB storage with their own Kerberos identity, passed through from single sign-on, without Foldr needing their password.
- *New* The server’s machine account can be used as the service account on SMB and Kerberos shares.
- Kerberos reliability throughout: users signed in at the same time no longer interfere with each other’s credentials, a slow or unreachable domain controller no longer stalls sign-ins, single sign-on session refresh no longer wrongly asks users to re-enter credentials, and session setup fixes for alternate SMB mode.
- Directory diagnostics now work with keytab-based binds too.
- Dropbox: scope a share to a subfolder, team-folder support, and faster direct uploads.
- Azure Blob Storage: scope a share to a container sub-path, and fixed folder renames.
- Amazon S3 and compatible providers: folders created by other tools now list and index correctly, upload sizes are pinned on direct uploads, and TLS verification is on by default.
- Microsoft 365: nested Entra ID groups are fully expanded for permissions and sync, group members are provisioned on first sign-in, and file permissions are refreshed when changes are picked up from delta queries.
- Microsoft 365 change notifications: edits made natively in SharePoint and Teams are picked up as they happen, keeping listings and the search index fresh without waiting for the next crawl.
- Uploads to Microsoft 365 storage now go directly to Microsoft for better performance.
- Moving files between Teams libraries is handled properly, including Microsoft’s asynchronous processing and clear messages when Microsoft refuses a move.
- Fixed saving Office documents through Office Online in shared folders, and save events now trigger indexing and automations correctly.
Web app improvements
- *New* PDF redaction: permanently remove sensitive content from PDFs in the viewer, including redacting every match of a search in one action. Redaction removes the underlying content, not just the visible ink.
- A rebuilt PDF viewer: word-precise find with cross-page navigation, annotation and stamp tools, smooth handling of mixed-orientation documents, and fit-to-width by default.
- File lists update live as things change: uploads, checkouts and edits appear in real time, including changes made directly in Microsoft 365.
- Editing in Microsoft 365 from the viewer now tracks the session: you are warned before navigating away mid-edit, and the document is saved when the session closes.
- After signing in, users are prompted once to set up account recovery.
- Sharing links: administrators can cap link lifetimes per share, links that expire on download behave correctly end to end, and each link can expose its own set of custom fields to visitors. The link panel gains Activity and Views tabs.
- Shortcut (pointer) shares show the target’s icon and a badge, keep their location in the address bar and breadcrumbs, and can no longer create loops.
- Custom fields can now be viewed and edited on folders, and on multiple items at once.
- Shared with Me now shows badge counts for files, forms and signatures awaiting you.
- Upload problems now surface the reason in the upload dialog.
- The device approval dialog now shows the approval code to pass to your administrator.
- External users get a confirmation step when signing in while already signed in, plus access to their Me tab from secure links.
Security
- A comprehensive authentication security review, with hardening across SAML, passkeys, session handling, single sign-on state validation, and stronger hashing for refresh tokens.
- *New* A smarter rate-limiting system that absorbs short bursts of legitimate activity while still stopping abuse.
- *New* Idle auto-lock across the web app, Settings and the automation editor.
- User-created automations now run strictly with their author’s own permissions and cannot read or change anything the author could not.
- Settings now protects administrators from locking themselves out: destructive permission changes are previewed and warned about before they apply.
- Multi-factor enrolment flows are more robust with clearer error messages.
- WebDAV is now an opt-in client protocol, off by default for new installations.
- Session and file token lifetimes requested by clients are clamped to configured ceilings.
- Request logging switches itself off after an hour so sensitive traffic is never logged indefinitely.
- Device approval and location rules are re-evaluated during a session, not only at sign-in.
- Users with an enforced passkey policy are taken to passkey setup at sign-in.
- Fixes an issue where the licensed user count could drift and lock out sign-ins.
- Password fields across all apps now carry the correct autocomplete attributes for password managers.
Server and administration
- *New* Let’s Encrypt SSL certificates via DNS validation. The server can now obtain and automatically renew trusted certificates through a Foldr-hosted DNS service: add a single CNAME record for each domain and choose Issue certificate in Security > Certificates. Ideal for servers that are not reachable from the internet for standard certificate validation. May require a licence reissue; contact support to enable.
- *New* Per-user and per-group notification templates: assign different email templates for events to different users and groups.
- *New* Send email through the Gmail API for Google Workspace, joining the existing SMTP and Microsoft options.
- Foldr Settings: restored diagnostics from the classic interface (hostname and domain checks, slow-storage warnings, domain controller enumeration), plus clearer status for firewall rules and mail configuration.
- Test emails now include the server’s hostname and address.
- Server update and test emails use a fresh, lightweight design and link to these release notes.
- PDF text extraction has been replaced with a faster engine that uses far less memory on very large documents.
- A large internal clean-up removed hundreds of unused components, making the server smaller and faster to update.
